Approval Process on Opportunity Product in Salesforce

The approval process on opportunity products allows you to automatically route submissions for approval based on the criteria that you define. This can be useful when you want to ensure that certain types of products are approved by a specific individual or group before they can be added to an opportunity.

Approval steps can be configured so that users are notified and given the opportunity to approve, reject, or request more information about a submission. The person who submitted the record is notified of the outcome of the approval process.

To set up an approval process on opportunity products:

1. From Setup, enter Approval Processes in the Quick Find box, and then select Approval Processes.

2. Click New Approval Process.

3. Enter a name and description for the approval process.

4. Under Candidate Record Type(s), select Opportunity Product from the drop-down list.

5. (Optional) if you want users to be able to activate and deactivate the approval process, check the Active box. By default, new approval processes are active. If you leave this unchecked, the approval process is inactive and users can’t submit records for approval.

6. Click Save.

The next page of the wizard appears which allows you to specify the entry criteria for the approval process. The entry criteria determine when a submission is created and routed through the approval process.

7. Under Entry Criteria, click Add Entry Criteria.

8. Select a field, operator, and value for your entry criteria, then click done.

9. Click Save & Next.

The next page of the wizard allows you to specify the steps in the approval process and assign approvers to each step.

10. Click Add Step, and then enter a name for the approval step.

11. Under Approvers, click Add Approvers.

12. In the Add Approvers dialog box, select the users, roles, or record owners who should approve submissions in this step, then click done.

13. Click Save & Next.

The next page of the wizard allows you to specify email templates for the approval process. Email templates are used to notify users when a record has been submitted for their approval, and also to notify the person who submitted the record of the outcome of the approval process.

14. Under Email Templates, click New Email Template.

15. In the New Email Template dialog box, enter a name and description for the template, and then click next.

16. Select an existing email template or create a new one, then click next.

17. Click Save & Next.

The next page of the wizard allows you to specify any final actions that should occur when a record is approved or rejected.

18. Under Final Approval Actions, click New Final Approval Action.

19. In the New Final Approval Action dialog box, select an object and action to take when a record is approved, then click Save.

20. Under Final Rejection Actions, click New Final Rejection Action.

21. In the New Final Rejection Action dialog box, select an object and action to take when a record is rejected, then click Save.

22. Click Save & Activate.

The approval process is now active and users can submit records for approval. When a record is submitted, users who are approvers for the first step in the process will be notified by email. They can then log in to Salesforce and take action on the submission.

After the approval process has been set up, users can submit records for approval by clicking the Submit for Approval button on the opportunity product detail page.

When a record is submitted, approvers will receive an email notification (if they have email notifications enabled). Approvers can log in to Salesforce and take action on the submission from the My Approvals page. To access this page, click Your Name > My Approvals.

Approvers can approve, reject, or request more information about the submission. If they request more information, they can enter comments that will be emailed to the person who submitted the record. The submitter can then log in to Salesforce and take action on the comments.
